Gym Membership Freeze and Refund Policy: How to Write One Members Accept

Freezes, transfers and refunds cause most front-desk arguments. How to write a policy that is fair, consistent and clear, with a sample you can adapt.

“I was travelling for a month, can you extend my plan?” Every gym hears it. Without a written policy, the answer depends on who is at the desk and how well they know the member. That is how one member gets a free month and the next one leaves an angry review. A short written policy makes the answer the same for everyone.

Why write it down

  • Consistency. The same request gets the same answer, whoever is on shift.
  • Fewer arguments. Staff point to the policy instead of making a personal call.
  • Cleaner accounts. Freezes and refunds follow one process, so the books and the GST records stay straight.

Freezing a membership

A freeze pauses the membership and moves the end date forward by the frozen days. Decide:

  • Who can freeze. Common reasons are medical, travel and pregnancy. Some gyms allow any reason on longer plans only.
  • How long. A minimum (often 7 days) and a maximum per plan, for example 15 days on a quarterly plan and 30 to 60 days on an annual one.
  • How often. One or two freezes per plan period.
  • Notice and proof. A request before the freeze starts, and a doctor’s note for long medical freezes.
  • A fee or not. Some gyms charge a small freeze fee; others make free freezes a selling point for annual plans.

Backdated freezes (“I didn’t come last month, please freeze it”) are where most disputes start. Either refuse them or allow them only with medical proof.

Transferring a membership

Letting a member transfer the remaining period to a friend or family member is a fair alternative to a refund. Allow it once per plan, charge a small transfer fee, and register the new person as a member with their own details before they use the gym.

Cancellations and refunds

Pick one approach and state it plainly:

  • A short cooling-off window. A full refund within a few days of joining, if the member has not used the gym.
  • Pro-rata refunds on longer plans, for the unused months, minus a stated admin fee.
  • No refunds on promotional plans, stated clearly before payment, with freeze or transfer offered instead.

For members paying in instalments, cancelling should stop the future instalments and any UPI Autopay mandate, rather than refund money already used. When you do refund, issue a credit note against the original invoice instead of deleting it. Our guide to GST on gym membership explains why.

Make it visible before payment

A policy only works if the member saw it before paying. Print it on the joining form, link it from the invoice or payment message, and have the member tick or sign that they agree. Then apply it the same way to everyone, including friends and long-time members.

A sample policy you can adapt

Freeze. Quarterly plans can be frozen once for up to 15 days; half-yearly and annual plans up to twice, for a total of 60 days. Freezes must be requested before they start and run for at least 7 days. The end date moves forward by the frozen days.

Transfer. The remaining period can be transferred once to another person for a fee of ₹500. The new member must register before their first visit.

Cancellation. Cancel within 3 days of joining, before your first visit, for a full refund. After that, annual plans are refunded for unused full months minus a ₹1,000 admin fee. Monthly and promotional plans are not refundable but can be frozen or transferred.

Instalments. Cancelling stops future instalments and the UPI Autopay mandate. Instalments already paid cover the time already used.

Change the numbers to suit your gym. Simple and clear beats long and clever.
