Refund & Cancellation Policy

Gym owners and subscribing entities may cancel their Clasendra monthly or annual subscription at any time directly through their self-service dashboard by navigating to Settings → Billing → Cancel Subscription. Upon cancellation, your software license and dashboard access will remain active through the end of your current paid billing cycle. No further recurring charges will be made to your payment method or bank account once cancellation is confirmed.

We offer an unconditional 14-day free trial on all plans without requiring any credit card, debit card, or upfront payment verification. Because no financial credentials are captured during trial registration, zero charges are ever billed if you decide not to proceed with a paid subscription upon trial expiration.

Our pay-per-active-member SaaS billing model is designed for complete transparency. Refund eligibility is governed by the following rules:

• Monthly Plans: Monthly subscription payments are generally non-refundable once the billing period commences, except in cases of verified double billing or technical billing glitches reported within 7 business days.
• Annual Plans: If you purchase an annual subscription and encounter critical technical incompatibilities that our Indian engineering team is unable to resolve within 7 business days of written notification, you may request a pro-rata refund for the remaining unused months of the contract.
• Member Tier Adjustment: Since billing scales based on active gym members, downgrades in member count reflect automatically as bill credits on subsequent monthly invoices.

For all transactions processed via Razorpay Software Private Limited (including UPI, Credit/Debit Cards, Net Banking, and QR code payments), approved refunds are processed strictly in accordance with Reserve Bank of India (RBI) and Razorpay settlement guidelines. Once initiated by Clasendra, funds are routed directly back to the original bank account, UPI ID, or card used during purchase within 5 to 7 business days. Clasendra does not retain payment processing surcharges on refunded duplicate transactions.

If you purchase biometric fingerprint readers, RFID cards, or turnstile relay hardware directly through Clasendra, units may be inspected and returned within 14 days of delivery provided they remain undamaged and in original packaging. Defective units covered under our 1-year hardware replacement warranty will be exchanged by our logistics partners at zero shipping charge to the gym owner.
