A biometric entry system does two jobs at a gym: it stops people with expired memberships from walking in, and it records who actually trains. The second job is the more valuable one, because attendance is the best early sign that a member is about to leave.
Why gyms move off the paper register
- Expired members walk in because the front desk can’t check everyone at peak hours.
- Shared memberships are hard to spot without a fingerprint or face.
- No attendance data means you can’t see who is drifting away until they don’t renew.
The four options compared
Fingerprint
The most common choice in Indian gyms. Readers are affordable, fast and can’t be shared. They struggle a little with wet or worn fingers, and you need to clean the sensor often.
RFID card or band
Very fast, and works with wet hands, so it suits pools and spas. Cards can be lent to a friend, and lost cards cost money to replace.
QR code on the member app
No hardware cost beyond a scanner, and nothing to touch. It depends on the member having their phone and a working app, and screenshots can be shared unless the code rotates.
Face recognition
Touch-free and can’t be shared. Devices cost more and need good lighting at the entrance. Strong enough for premium gyms with heavy traffic.
Which one should you choose?
- Most single-location gyms: fingerprint, with QR as a backup.
- Gyms with a pool or spa: RFID bands.
- High-traffic or premium gyms: face recognition at the main gate.
- Franchises: the same method at every branch, so members can visit any of them.
Offline sync matters more than the device
Internet outages at 6 a.m. are common. If the gate needs the cloud to check every member, a router problem locks out your whole morning crowd.
A good system keeps a local list of active members on the device, opens the gate without internet, stores each entry, and syncs when the connection returns. Ask any vendor to show this with the internet switched off.
Devices and integration
You don’t have to buy a reader from your software vendor. Common brands in India such as eSSL, CAMS and MinopCloud can connect to gym software. Check the integration before you buy hardware.
Fingerprints and face data are sensitive personal data. Under India’s Digital Personal Data Protection Act, take clear consent, use the data only for entry and attendance, and delete it when a member asks or leaves.
How Clasendra handles it
Clasendra’s biometric attendance works with fingerprint, RFID, QR and face devices, keeps the gate working offline and syncs when the internet is back. Expired members are blocked automatically. Members whose visits drop show up on the dashboard, so retention alerts reach you before the renewal date. Not sure your reader works? Check your device.
