Indian members read WhatsApp, not email. A good renewal reminder on WhatsApp is often the difference between a renewal and a lapsed member. Here are templates you can use, when to send them, and the rules to follow so your number stays safe.
Personal WhatsApp vs the Business API
Sending reminders one by one from the owner’s phone works for 30 members. Beyond that, owners turn to “bulk sender” tools, and that is how gym numbers get banned.
The WhatsApp Business Platform (the official API from Meta) is the safe route at scale. Messages go from your gym’s verified business number. Messages you start must use templates Meta has approved. Renewal reminders and payment receipts usually count as utility messages, which cost less than marketing ones.
The rules that keep your number safe
- Get opt-in. Members should agree to WhatsApp updates, for example with a tick box on the joining form.
- Use approved templates for any message you start. Variables like the name and amount are filled in for each member.
- Keep it relevant. Renewal reminders, receipts and class changes are fine. Repeated promotions to people who never asked for them get reported.
- Make stopping easy. Honour “STOP” replies straight away.
When to send each reminder
- 7 days before expiry: a friendly heads-up
- 2 days before: a reminder with the pay link
- On the expiry day: a last reminder
- 3 days after: a personal check-in from staff
- 30 days after: a win-back message

Write reminders people act on
- Use the member’s first name and the exact amount.
- Put the pay link in the message. Every extra step loses people.
- Send between 9 a.m. and 8 p.m.
- Keep it to two short sentences.
