Best Gym Management Software in India (2026): How to Shortlist the Right One

There is no single best gym software, only the best fit for your gym’s size, payments and plans. How to shortlist, what to test, and a scorecard to compare vendors.

Search for the best gym management software and you will find lists that rank ten products in an order nobody explains. The honest answer is that the best software is the one that fits how your gym runs: your size, how members pay, whether you have one branch or five, and what you want off your plate.

This guide shows how to build a shortlist of two or three, what to test in a trial, and how to score them so the decision is yours, not the sales team’s.

Start with your gym, not the product

Your situationWhat matters most
One gym, under 200 membersSimple billing, UPI, renewal reminders and a low monthly price
Busy gym, 300 to 1,000 membersAutomated reminders, biometric gates, staff roles and reports
Two to five branchesOne login for all branches, branch-level permissions and pricing that doesn’t multiply per outlet
Franchise or large chainCentral reporting, custom integrations and a dedicated contact at the vendor
Studio with classes and PTClass booking, waitlists, PT packages and trainer payouts

The kinds of gym software you will find

Platforms built for India. Designed around GST invoicing, UPI and Indian payment gateways, WhatsApp and local biometric devices. FitnessForce is a long-established Indian platform with a large installed base. Gymie targets smaller Indian studios and single-location gyms.

Global platforms. Built abroad and used worldwide. Mindbody has scale, a large consumer marketplace that drives discovery and a deep partner ecosystem. Wellyx covers spa and salon operations alongside fitness. Check how well they handle INR pricing, GST and UPI before you commit.

Simpler single-gym tools. Fewer modules and a lighter setup. GymForce may suit a single-location gym that wants a simpler tool.

We have written a fair, point-by-point comparison of Clasendra against each of these, including where the other product is the better fit: FitnessForce, Mindbody, Wellyx, GymForce and Gymie.

Build a shortlist in an afternoon

  1. Write down your must-haves. Three to five things you can’t run without, such as GST invoices, UPI Autopay or offline biometrics.
  2. Cut anything priced for a different size. Ask for the price at your member count today and at twice that.
  3. Check the exit. Drop any vendor that won’t let you export members, invoices and payment history yourself.
  4. Book two or three demos. More than that and they blur together.

What to test in the trial

A demo shows the best path through the product. A trial shows your real day. In the first week:

  • Import a real slice of your members and check the dates and dues came across correctly.
  • Take a UPI payment and check the invoice, the GST split and how fast the money reaches your bank.
  • Unplug the router and see whether the gate still opens for an active member.
  • Send a renewal reminder and see which number it comes from.
  • Ask support a question in the evening, when gyms are busiest, and time the reply.

A scorecard to compare vendors

Score each vendor 0 (no), 1 (partly) or 2 (yes) on each line, then compare totals against the yearly cost at the size you expect to be in two years.

CriterionThe question to ask
Pricing as you growWhat exactly changes on my invoice if I add a branch?
UPI and billingIs UPI native, and who owns the settlement account?
Offline accessDoes the gate work with the internet down, and do logs sync later?
WhatsAppIs it the official Meta Business API, from my number?
Data exportCan I export everything today, without a ticket?
Data separationHow is my gym’s data kept apart from other gyms’?
Member appIs it in my gym’s name, or the vendor’s app with my logo?
Support hoursWhat is the response time in writing, and does it cover gym hours?

Our comparison guide explains why each of these decides real money, and the buyer’s guide covers the red flags to watch for.

Where Clasendra fits, and where it doesn’t

Clasendra suits Indian gyms from a single location with a hundred members to chains of several branches that want GST billing with native UPI, biometric gates that work offline, WhatsApp reminders on the official API and a member app in their own name. Pricing is set by active members and branches, not staff logins: Starter is ₹1,499 a month for up to 200 members at one location, and Growth is ₹3,499 a month for up to 1,000 members across up to 5 branches.

It is not the right choice if you mainly run a spa or salon, or if you want a consumer marketplace to bring you new customers. If that is you, one of the platforms above may fit better.

You can test it against your shortlist with a 14-day free trial, no card and free migration. See pricing or the full feature list.
