“How much does it cost?” is usually the first question a gym owner asks about software, and the hardest to compare, because every vendor prices differently. One charges per member, another per branch, a third per staff login, and the setup fee only appears on the final quote.
This guide explains the pricing models, the costs around the subscription, and how to work out what the software is worth to your gym.
The five pricing models
| Model | How it works | Watch out for |
|---|---|---|
| Tiered by members | A monthly price for a band of active members | How “active” is counted, and the jump to the next tier |
| Per branch | A price for each location | The bill multiplies as you open branches |
| Per staff login | A price for each user account | Staff sharing one login to save money, and losing the audit trail |
| Per module | A base plan, with add-ons for billing, app or WhatsApp | The plan you actually need costing far more than the headline price |
| One-time licence | Desktop software paid for once | Paid upgrades, no mobile access and backups that are your problem |
None of these is wrong. What matters is what the bill looks like when your gym grows, so always ask for the price at your size today and at twice that.
The costs around the subscription
- Setup and onboarding fees. Some vendors charge to set up your account or train staff.
- Data migration. Moving members, plans and dues from your old system or spreadsheet.
- Biometric hardware. A one-time cost per fingerprint, RFID or face reader. Ask whether the software supports the device you already own.
- Payment gateway charges. Charged per transaction by the gateway. Check the rate for UPI specifically, since most members will pay that way.
- WhatsApp messages. On the official Business API, Meta charges for business-initiated template messages, at rates it sets by message type. Ask whether the vendor passes these on at cost.
- A branded member app. Publishing under your own name needs developer accounts with Apple and Google, which carry their own fees.
- Annual price increases and lock-ins. Read the renewal terms, not just the first-year price.
What “free” gym software leaves out
Free plans and spreadsheets cost nothing up front, and for a new gym with 30 members a spreadsheet can be enough. As the gym grows, the gaps show:
- No GST invoices your CA will accept, or no automatic invoice numbering.
- No automated reminders, so renewals still depend on someone remembering.
- No biometric or access control integration.
- Limited or no support, and sometimes no way to export your data.
The real cost of free software is the renewals and dues that slip through. That is the number to compare against a subscription.
Working out what it is worth
Put the monthly price next to the money the software protects or saves. An illustration, not a benchmark: a gym where 8 members a month forget to renew a ₹1,500 plan loses ₹12,000 a month. If automated reminders bring back even half of them, that is ₹6,000 a month recovered, before counting the hours the desk no longer spends on phone calls and registers.
The ROI calculator on our pricing page runs the same sums with your own numbers.
Questions to ask before you get a quote
- What will I pay at my current size, and at twice my members with one more branch?
- Is there a setup fee, and is migration included?
- Which features are add-ons rather than part of the plan?
- How are WhatsApp and payment gateway charges billed?
- What is the minimum term, and what does cancelling cost?
- Can I export all my data if I leave?
Clasendra pricing, for comparison
