The systems that got you to one successful gym are usually the ones that break at the second. A WhatsApp group for each branch, a spreadsheet for each manager and an owner who drives between them to check the numbers all work while you can be everywhere. They stop working the day “everywhere” means two cities.
Owners who grow smoothly don’t work harder across more locations. They put the systems in place before they need them, so each new branch plugs into something that already works. This guide covers what to standardise, how to set up roles and money, what to compare every week, and what changes when you franchise.
Is branch one ready?
A second branch multiplies whatever the first one does, good or bad. Before you sign a second lease, check that:
- Branch one runs for a week without you, and nothing breaks.
- Your renewal rate is steady. If members are leaving branch one, fix that first; our guide to reducing member churn shows where to start.
- Your numbers come from a system, not from memory or a manager’s phone.
- You have a manager you trust, who already makes the day-to-day decisions.
- You have the cash to carry the new branch for several months while it fills up.
What to standardise, and what to leave local
Standardising doesn’t mean every branch is identical. It means every branch’s numbers mean the same thing, so you can compare them, and members get the same experience wherever they train.
| Same at every branch | Can differ by branch |
|---|---|
| Plan types and names | Prices, to suit the area |
| Billing rules and invoice format | Class timetable |
| Freeze, transfer and refund policy | Staff rosters and shifts |
| Member details collected at joining | Local marketing and partnerships |
| Check-in method at the gate | Offers, within limits you set |
| How each report number is calculated | Opening hours |
The written freeze and refund policy matters most here: if two branches answer the same request differently, members notice, and so do your reviews.
Members who use more than one branch
Decide this before it comes up. Either a membership belongs to a home branch, or you sell an all-branch plan at a higher price. Whichever you choose, record each member’s home branch, so revenue is credited to the branch that sold the plan.
Roles and permissions
With one branch, everyone can see everything. With several, that becomes a risk and a distraction. Give each person a login of their own and the access their job needs:
| Role | Sees and does |
|---|---|
| Owner | Every branch: revenue, members, staff and settings |
| Branch manager | Their branch: members, staff, classes and approvals up to a limit |
| Trainer | Their clients, sessions and classes |
| Receptionist | Adding members, taking payments and check-ins |
Never let staff share a login. When something goes wrong you need to know who did it, and a shared login erases that. Write down which discounts and refunds a branch manager can approve alone, and which need you.
Money across branches
GST
GST registration works by state, not by branch. Branches in the same state can usually sit under one GSTIN, added as additional places of business. A branch in another state needs its own registration. GST rules allow more than one invoice series, so you can give each branch its own prefix, such as MOH/ and ZRK/, as long as each series stays continuous. Our guide to GST on gym membership covers what each invoice must show; confirm the set-up for your business with your CA.
Collections and cash
- Decide which bank account each branch’s UPI collections settle into.
- Hand over and record cash daily, branch by branch, against the day’s invoices.
- Collect dues the same way everywhere, with the same reminder sequence and the same pay link. Our post on WhatsApp renewal reminders has templates.
The numbers to compare every week
| Number | What it tells you |
|---|---|
| Active members | Whether the branch is growing or shrinking |
| Collected against due | Whether the desk is chasing dues |
| Renewal rate | Whether members stay once they join |
| New members and enquiry conversion | Whether local marketing and follow-up work |
| Visits per member and peak-hour crowding | Whether members are engaged, and whether the floor is full |
| Staff cost as a share of revenue | Whether the branch pays for itself |
Compare a new branch with an established one on the same definitions, at the same age. A six-month-old branch will always look smaller than a five-year-old one; what matters is whether it is on the same path. Our guide to converting enquiries into members covers the conversion number in detail.
If you franchise
Franchising adds a second owner to every branch, and that sharpens every question above:
- Data separation. A franchisee should see their own branch and nothing else. You see the whole network.
- Royalties from real numbers. If the royalty is a share of revenue, the revenue figure must come from the system both sides use, not from a monthly email.
- Their GSTIN, their bank account. Each franchisee usually invoices members under their own registration. The franchise fee and royalty you charge are taxable services too; agree with your CA how they are invoiced.
- Brand standards members can see. The same plan names, the same reminder messages and the same member app in your brand’s name at every location.
- Who keeps the data if a franchisee leaves. Write it into the agreement, including how members’ personal data is handled under India’s Digital Personal Data Protection Act.
A scaling checklist
- Can you see revenue and attendance for every branch from one login today?
- Would branch four need a new spreadsheet, or does it plug into what you already have?
- Does every branch use the same plans, policies and report definitions?
- Can a branch manager run the day without waiting for you?
- Does every member of staff have their own login, with the right access?
- If you franchise, can a partner see their own numbers without you exporting them?
Common mistakes
- Running each branch on separate software, so nothing adds up at month end.
- One shared login for all staff.
- Letting each branch invent its own plans and discounts.
- Opening a third branch before the second has reached break-even.
Where Clasendra fits
Clasendra’s multi-branch gym management runs every branch from one login. Revenue, members, staff and gates roll up into one dashboard, and the branch health board compares a young branch with a mature one on the same numbers. Roles for Owner, Manager, Trainer and Receptionist give each person only what their job needs. For networks and franchises, each gym has its own isolated data and its own web address, or your own domain, and the Super Admin hub tracks revenue and the health of every gym you run. Members use a member app in your brand’s name.
Growth covers up to 5 branches for ₹3,499 a month, and Enterprise has no branch limit. See pricing or the full feature list. Opening your first gym instead? Start with our checklist for opening a gym in India.
